We are looking for a Personal / Executive Assistant to help our busy CEO with a variety of professional and personal tasks. You may be asked to attend meetings and help around the office, as well as attend to various needs at a variety of properties. We’re looking for a go-getter, who doesn’t mind being pushed out of their comfort zone. For a perfectionists who is willing to put in extra hours to make sure their tasks are completed not just to their own satisfaction, but beyond others’ expectations. Our Executive Assistant will help with various administrative and organizational needs, such as setting up appointments and overseeing schedules. Acting as a gatekeeper, our Executive Assistant helps to decide which phone calls, emails, or in-person meetings get through to the boss. They also conduct business with other colleagues or external vendors on behalf of the executive.   Will need to be confident in the following; • Excellent written and verbal communication skills • Time-management skills • Ability to pay attention to detail • Organization skills • Ability to multitask & react to time sensitive situations • Basic understanding of frequently used computer software and programs, familiar with excel and google docs • Interpersonal skills • Manage scheduling for company executives • Draft, review and send communications on behalf of company executives • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings • Answer and respond to phone calls, communicate messages and information to the executive • Prioritize emails and respond when necessary • Coordinate a variety of tasks needed to operate day-to-day operations. • Maintain various records and documents for company executives, managing receipts and invoices. • Organize cleaning team & maintain their schedules • • Maintaining a high degree of discretion and confidentiality • Keep important information and documents organized physically, and electronically • Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence • Filing important documents, such as reports, meeting notes, emails, and letters • Keeping the executive’s calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings • Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers • Conducting research and creating reports on various topics based on the needs of the executive • Exceptional attention to detail • Communication and interpersonal skills • Ability to conduct research and create reports or presentations • Ability to learn quickly • Ability to work in a fast-paced environment Salary starting @ 50,000 - 55,000 /year
