Lead Proposal Assistant

This role can be performed anywhere within Western Canada and will report into our Proposal Manager. The Lead Proposal Specialist will take end-to-end ownership of assigned proposal responses and support the Proposals Team Manager in people and process management. The Lead Proposal Specialist will provide project management for the response processes and take responsibility for the quality and timeliness of persuasive and compliant proposals to Microserve clients and prospective clients, write original proposal content, and manage and make effective use of pre-written content. The Lead Proposal Specialist will also provide support for other marketing and writing activities across the organization. This is a great position if you are interested in showcasing your technical writing, proposal management and people management skills, and being part of a growing, changing business.   The successful candidate has exceptional IT services knowledge, organizational skills, great attention to detail, technical writing skills, and high standards for quality of work. This role occasionally requires a flexible work schedule to accommodate client deadlines. Responsibilities: Proposal Writing and Management: Responsible for the end-to-end proposal response process including review and evaluation of RFPs; selection and coordination of RFP response team; meeting scheduling and facilitation; complex technical writing; providing guidance to the response team; submissions; and creating shortlist or other important client presentations. Write most parts of complex IT hardware or managed services proposals independently, based on industry knowledge and existing company boilerplate, requiring minimal help to do so. Contribute to achieving and exceeding target win rates. Organize and manage Microserve’s proposal Content Warehouse within SharePoint, edit and update regularly to ensure high quality and availability. Provide content, writing and formatting support for other teams within Microserve. Supporting the Proposals Team Manager in People and Process Management Act as the point of escalation and will be main guide on team’s performance and results Manage team performance through KPIs such as target win rates and manage individual performance such as conduct reviews, provide feedback, enhance individual performance. Train team members and develop their technical and soft skills by acting as the main resource and support on projects Act as hiring manager and manage resourcing levels for the team, which include interviews, onboarding and set-up Reporting – measure and reporting team performance KPIs and SLAs, including win-loss. Continuous improvement – identify and implement process and performance improvements. Requirements: Minimum 5 years of experience in IT hardware or managed services business-to-business proposal writing and management. Demonstrated ability to maintain and influence strong win rates for proposals submitted. Exceptional technical writing skills in the areas of IT managed services / ITIL processes. Experience in North American public sector procurement is highly desirable. Previous experience in managing a team of reports is desirable. Expert level skills in MS Word and PowerPoint, and proficiency in MS Excel and SharePoint. Proposal Management, ITIL, or other technical IT education or certification is desirable. Ability to handle fast pace, heavy workloads, strict deadlines, and flexible work schedule. High sense of urgency, energy and ability to consistently meet deadlines and hold others accountable to meet deadlines.
