The Administration department takes pride in providing exemplary service to visitors and business partners of The Butchart Gardens, as well as to the other nine departments within the company. This position supports the Administration department by providing administrative support for the CEO and Director of Administration, and by working with and helping our Receptionist team. The successful candidate will be required to: • compose correspondence on behalf of the Administration department • help administrate our policy and procedure processes • review and edit internal and external documents for accuracy, grammar, and content • maintain and revise filing systems • schedule appointments and meetings for CEO • prepare minutes and agendas • assist with projects involving the community, government agencies, and protocol visits • provide clerical support to other departments • complete timely and accurate data entry • respond to visitor comments, complaints, and suggestions and provide a resolution where possible • update annual reference materials • research topics or issues as needed The successful candidate will also assist our Reception team, when necessary, with the following responsibilities: • answer incoming and internal phone calls, take and relay messages • greet business appointments • receive and refer visitor inquiries by mail and phone • process incoming and outgoing business mail • complete data entry • other duties as required The successful candidate will possess the following skills and abilities: • experience using Outlook, Word, Windows 10, Excel, and Power Point • experience editing documents • experience writing and reviewing policy • ability to research, analyze, and evaluate information • accurate data entry, and proficiency in database creation and management • ability to work well under pressure and set priorities • strong initiative with the ability to multi-task • detail oriented with organizational abilities • ability to establish and maintain effective working relationships with all staff, and the ability to work effectively within a team • maintain confidentiality and work with discretion, as required • ability to conduct oneself in a patient, polite, and professional manner • multi-line phone experience • pleasant and professional telephone manners • a broad knowledge of the local area and our tourism partners • familiarity with The Butchart Gardens and the scope of services provided is an asset Work Season: This is a year-round, full-time position with a 6 month probationary period. Occasional overtime, evening and weekend work can be expected. We offer competitive wages, health and dental benefits, matched RRSP benefits and flexibility for time off. This position reports to the Director of Administration. Remuneration will commensurate with this level of responsibility and the qualifications of the candidate.
