The Burnside Gorge Community Association is seeking a temporary Office and Facility Assistant to join the administrative team. Being the first point of contact for most callers and visitors to the Burnside Gorge Community Centre, this position would ensure efficient functioning of the reception area, provides administrative support to agency operations and helps manage facility bookings (room rentals). KEY DUTIES AND RESPONSIBILITIES Reception/Administration • Maintain a clean and organized lobby and front desk • Answer phones and greet visitors in a welcoming manner, direct to appropriate staff and schedule appointments where required • Accept monetary and in kind donations and provide information on acceptable and needed items • Problem solve with callers or visitors who require referrals to other agencies • With the support of the Volunteer Coordinator provide training and oversight to volunteers at reception • Maintain office and janitorial supply inventory and order when necessary • Maintain the schedule for vehicle inspection, maintenance and insurance • Manage the sign-out of keys, AV equipment, vehicles • Maintain bulletin boards in the lobby and screen postings • Provide administrative support for agency staff such as program registrations, copying, scanning, etc • Open mail and direct to Executive Director for review • Distribute information to agency staff that may be of benefit to them, their clients or their programs • Provide support to the Management team on an as-needed basis • Provide occupational first aid when needed Finance • Manage cash and process payments • Reconcile till cash out and program floats • Prepare bank deposits • Enter payments and review account balances for program registrations, room bookings and child care in our registration system (Savant) Facility Rentals • Respond to rental inquiries including tours, booking rentals, preparing contracts, processing payments, etc • Prepare rooms for rental use, gather supplies and equipment, set up tables, chairs, podium, prepare refreshment service, etc • Ensure that all rentals and their requirements are entered in Savant and communicated to the appropriate staff • Manage internal bookings of space for BGCA staff • In collaboration with the Community Recreation Coordinator, ensure programming space requirements are met • With direction from the Office Manager, schedule adequate Facility Attendant coverage for all rentals and ensure all setup requirements are communicated appropriately HOURS OF WORK 35 hours per week, Monday through Friday, 7:30am to 3:00pm shifts. Occasional afternoon or weekend shifts as required. Starting wage $19.25/hr. Paid sick leave. Vacation pay accrual starting at 4% and increasing with length of employment to be paid out or banked upon request. This is a temporary, contract position covering a mat leave starting Monday August 29, 2022 until Friday January 12, 2024.
