Full time administrative assistant

Downtown law office seeking full time administrative assistant commencing beginning of March. He or she will be providing assistance to all of the following departments (estate planning, estate administration, corporate, real estate, and litigation), with duties to include: * photocopying/scanning documents; * preparation of estate inventories; * maintaining filing systems (both in electronic and physical form); * photocopying, scanning and faxing; * indexing estate planning documents into our vault records; * preparation of correspondence, including report letters and accounts to clients; * checking and entering trust and estate data; * electronically filing corporate Annual Reports and generating related invoices; * filing documents in corporate Record Books (i.e. Annual General Meeting resolutions, Annual Reports, dividend resolutions, and various other resolutions); * emailing accountants copies of signed dividend or redemption resolutions and waivers of auditor; * assembling Annual General Meeting packages into envelopes for mailing; * assisting with the closing of files; * conduct of conflict checks; * covering reception; and * providing general assistance to the office, for example, ordering of food/pick up, and post office runs. Salary commensurate with age and experience. Successful candidates should be dedicated, hard-working and organized, have strong time-management skills and excellent attention to detail.
